Terms & Conditions of Payment

  1. Payment Terms

1.1 You must always make payment for services in advance through online credit/debit card transactions, bank transfers, or through an already cleared cheque.

  1. Your Responsibilities by

2.1 You guarantee that all information provided is comprehensive, accurate, and up-to-date, with no discriminatory data about the property.  You agree to immediately contact us if you become aware of any inaccuracies in the information provided and in the order.

2.2 You agree that any order we may supply to you is delivered with the knowledge that it is intended solely for your use and for the reason you disclosed to us.

2.3 You agree that scheduled meetings with the fieldworker are organized with the expectation that a qualified individual will be available to ensure that the property is accessible at the time of the meeting. If the fieldworker fails to secure entry to the facilities within 15 minutes of arriving, you will be charged £20 for the missed appointment payable to the assessor. Additionally, this may cause a delay in the execution of your order and impair your right to cancel.

2.4 You agree to make any insulation certifications accessible to the assessor during the examination if you apply for an Energy Performance Certificate. If the certificates are not accessible, insulation may be listed as “non-existent” or “unknown.”

2.5 You agree to notify us within one month of receiving the certificate if there is a problem with the rating, recommendation, or address. We will not be able to make any adjustments beyond this date.

2.6 You agree that the service will begin as soon as payment is made. This encompasses all essential administrative operations, site visits, and documentation creation.

2.7 You agree that the services and execution period specified are not guarantees and that adherence to them may not always be achievable. You commit to telling us immediately if you do not obtain the specified service. If you cancel your purchase due to service or turnaround time not being as promised, you will not be entitled to a full refund. However,  based on the judgment of senior management, you may be granted a partial refund.

2.8 You agree that it is your obligation to ensure that the service you have ordered is both required and appropriate for your specific needs. Suppose you cancel your order because the property already has an EPC; the service requested was no longer necessary or subsequently unsuitable for any reason, regardless of whether or not an assessor has visited your property. In that case, you will not be entitled to a refund of the full-service charge.

  1. Accountability

3.1 We (DirectEPC) cannot be held liable for any error in a report based on a public register error or inaccuracy. We will also not be held liable for any information in a report based on data acquired from a third party (other than data obtained from the public record).

3.2 We will not be held liable for any discrepancies or errors in the report resulting from incomplete or inaccurate information provided by you.

3.3 We shall not be liable to you for any loss, damage, fees, or expenses caused directly or indirectly by a delay in delivery to you, subject to any other provisions in these stipulated conditions (even if caused by our negligence).

3.4 We shall not take responsibility for any loss of actual or expected profits or cash reserves, loss of business or its disruption, loss of opportunity, or any special, implicit, or potential damage resulting from a breach of these conditions or negligence in providing the services; even if we have an awareness of the possibility of such deficit.

3.5 Our total accountability to you for any actual loss resulting from our violation of these regulations or our fault in executing the services shall not exceed the service cost.

3.6 By acquiring an EPC, you approve that you expect us to finish it and replace any out-of-date or existing active EPCs, even if there are no improvements to the property.

  1. Costs

4.1 Where necessary, all costs are VAT inclusive.

4.2  The prices listed on the website apply to properties located anywhere in the English and Welsh Mainland.

4.3 Payment is required upon placement of your demand for the operations of our fieldworkers, and we retain the right to decline your request and discontinue our services immediately if you fail to make payment on time.

4.4  There will be a £5 charge if you want a copy of your report mailed to you.

4.5 You shall make payment in the manner agreed upon between us.

4.6 Upon payment confirmation, the assigned fieldworker will notify the client by phone through the contact details supplied that the booking has been accepted.

4.7 If your request is performed fraudulently, we may require an extra charge and will not deliver the report until we obtain the extra charge.

4.8 You agree that you are aware an external service provider will supply your requested services.

4.9 The prices listed on the website are for properties located anywhere on the English and Welsh Mainland. Residential EPCs are offered for a fixed charge on structures with less than four bedrooms and less than 150 square meters. You must require a quote before making a reservation for a larger structure.

4.10 EICRs are priced on the assumption that the property has the same number of fuse boards as specified on the request form. Extra fuse boards on-site will be charged at a rate of £100 for each board. The pricing includes up to ten circuits for each fuse board; additional circuits are available for £20 apiece.

  1. Role of an agent

5.1 DirectEPC serves as an agent or intermediary in issuing the directive for executing an EPC or any other item. We impose a handling fee to facilitate this procedure. DirectEPC is liable for collecting and keeping payment for all services requested and will distribute revenues appropriately only after receiving notice that the designated fieldworker satisfactorily fulfilled the directive. You acknowledge that any contract established due to payment is between you and the appointed fieldworker by accepting these conditions.

  1. Order Cancellation

6.1 If you desire to revoke or postpone an order, you shall provide us with as much notice. Therefore, if you revoke on or after your order validation, you cannot receive a complete refund of the Service Charge. At the discretion of the manager, we may provide a provisional refund. However, all refunds shall be liable to a Service Fee determined by the price and the degree of service supplied and may reach up to 20% of the overall order costs (VAT inclusive).

6.2 We retain the right to decline any directive received after order validation and will engage the customer directly to negotiate the cancellation as soon as feasible. Typically, there is no service fee, and a complete refund may be granted.

  1. Layouts and Floorplans

7.1 The drawings presented are simplified layouts for demonstrative reasons only. They are not intended to be accurate to dimension or compatible with land registration requirements.

7.2 The layouts shall be as precise as possible, given the limitations of the software used. The basic layout does not require precise dimensions. We may add these upon request, but you are responsible for providing us with appropriate data.

7.3 The floorplan will depict the structure’s size, layout, and any fixed constructions during the inspection.

7.4 If a layout has to be updated, a version of the new drawings must be provided to the office, and the changes will be done appropriately.

7.5 A full refund for a floorplan that has been finalized may not be feasible (see section 6: Order Cancellation).

  1. EPCs for commercial establishments

8.1 The cost of all Commercial EPCs is determined by the property’s total useable floor space.

8.2 All prices are conditional upon the availability of appropriate information and are subject to change if we incur extra expenditures for which DirectEPC is not responsible. You are responsible for providing complete, accurate, and up-to-date information.

8.3 You agree that our quote is an estimate if you cannot supply us with the correct size of the property. By proceeding and placing the purchase, you accept that there will be an additional cost if the total usable floor area exceeds our initial estimate at the time of booking.

8.4 If you do not make the extra payment, we sha not provide you with the EPC, and you may lose your power to revoke the purchase. The additional costs are applied to offset the extra expenses associated with assessing a more extensive property. All rates for buildings up to 1000 square meters are accessible during the purchase period and are prominently stated on the website.

  1. Scope

9.1 While we make every effort to offer complete countrywide coverage, some exceptions will be handled on a case-by-case basis. Suppose we cannot cover your requested location at the time of booking. In that case, a member of the DirectEPC team will contact you as soon as possible to explore other choices.  We are likely to fulfill the directive in rare cases after settling on a rural extra cost with the customer; however, this will be handled individually.

  1. Personal Data and Information

10.1 By submitting an order, you approve that we can supply the following data to an external operator appointed by us: contact number, address, name, email address, telephone number of agents/tenants, and lock security code (if requested).

10.2 By helping another person to submit an order, you certify that you have their consent.

10.3 After order execution, you accept that we will retain your details on record indefinitely.
